Coordinates
activities
involved
with
procuring
goods and
services
such as raw
materials,
equipment,
tools,
parts,
supplies,
and
advertising.
Reviews
requisitions.
Confers with
vendors to
obtain
product or
service
information
including
price,
availability,
and delivery
schedule.
Selects
products for
purchase by
testing,
observing or
examining
items.
Estimates
values
according to
knowledge of
market
price.
Determines
method of
procurement
such as
direct
purchase,
bid or
transfer
from another
branch.
Prepares
purchase
orders, bid
requests and
transfers.
Reviews bid
proposals
and
negotiates
contracts
within
budgetary
limitations
and scope of
authority.
Maintains
computerized
procurement
records such
as items or
services
purchased,
costs,
delivery,
product
quality or
performance
and
inventories.
Coordinates
the quality
control
process with
personnel,
users,
vendors and
others to
determine
source of
trouble and
take
corrective
action.
Approves and
reconciles
invoices
with
purchase
orders for
payment. May
expedite
delivery of
goods to
customers.
JOB
DUTIES:
Ø Evaluating
and maintaining
proper inventory
levels for all HVAC
product lines by
placing purchase
orders for stock and
special
Ø Negotiates
the best pricing and
payment terms
possible with all
vendor lines
purchased. Order
items in a timely
manner
Ø Placing
orders for items
that Valley Supply
does not stock on an
individual customer
need basis.
Ø Ensure
inventory accuracy
and monitoring PO
ship dates as well
as tracking overdue
PO’s.
Ø Returns of
warranty items to
vendor for repair
and writes customer
orders for any
shipping or labor
charges on the
repair.
Ø Reviews and
approves invoices
for payment,
including finding
any discrepancies in
price or payment
Ø Acquires
Return Material
Authorization for
the return of
defective or over
shipped merchandise
terms and contacting
the vendors to get
the invoices
corrected
Ø Monitors and
updates pricing on
all vendor lines
purchased.
Ø Communicates
with vendors to
obtain CO-OP funds
available for
advertising and for
use in customer
based functions such
as the annual golf
outing and the
semi-annual customer
appreciation dinner
Ø Contacts
vendor reps to
obtain “Special Job
Quote Pricing” for
all large jobs, per
customer or
management request.

Ø Monitors old,
overdue and new
purchase orders with
daily checks of the
purchasing queues on
the Eclipse system.
Ø Helps HVAC
contractors with
technical assistance
as needed, as well
as figuring material
lists and layouts of
heating & cooling
systems as requested
by the contractor.
Ø Monitors
special Master Lock
key programs
Ø Searches
multiple avenues for
acquiring “hard to
find” products,
including purchases
from the internet.
Ø Works closely
with warehouse
employees and
receiving department
to maintain
efficiency and
accuracy of
inventory.
Ø Resolve
customer issues when
an item is ordered
or shipped
incorrectly.
Ø Any other
duties that are
needed and falls
under Valley
Supply’s policies
and procedures
including relief of
inside sales staff
by answering phones
or taking orders at
the sales counter
when a call for
counter help is
made.
Requirements:
Ø Computer
skills: Windows,
Office Suite (MS
Office, Open Office
etc.), Microsoft
Outlook. Basic
knowledge of
distribution
programs such as
Activant Eclipse or
similar.
Ø HVAC
technical knowledge
preferred. Must be
able to provide
technical support to
contractors in the
field or be able to
find the answers
they need in a
timely manner.
Ø Work
Experience in either
HVAC
Installation/Maintenance
or HVAC distribution
is a plus
Ø Must be able
to follow through
with vendors and
with customers on
all special order
and stock order
purchases.
Ø Must be
willing to travel
for meetings,
training etc.
Ø Must be able
to multitask
Ø Must be
organized
Ø Associate
Degree preferred but
not required.
